Knowledge Feature Guide

Overview

The Knowledge feature empowers your team to build a centralized library of company documents that your GailGPT assistants can reference during conversations. Upload your policy documents, underwriting guidelines, product sheets, and procedures—then let your assistants provide accurate, cited answers directly from your trusted sources.

How It Works

1. Uploading Documents

  • Navigate to the Knowledge tab in your GailGPT dashboard
  • Upload documents directly from your computer
  • Processing time: Files are typically processed within seconds, depending on size
  • Once complete, your documents are ready to be organized and assigned to assistants

2. Organizing with Tags

Tags help you group related documents for easy management and assignment.

Example:

  • Tag a document with underwriting for all underwriting-related policies
  • Tag another document with both underwriting and commercial-auto for specific product guidelines
  • Use tags like claims, compliance, product-info, or training to organize your knowledge base

Why use tags?
Instead of adding documents one by one to each assistant, you can assign an entire category at once—making it easy to scale as your knowledge base grows.

3. Assigning Knowledge to Your Assistants

  • Open your Assistant settings
  • Under Abilities, choose to:
    • Add individual documents directly, or
    • Add a tag to grant access to all documents in that category (recommended)
  • Once assigned, your assistant can access and reference all linked documents during conversations

4. Getting Answers with Source Citations

When users ask questions, your GailGPT assistant will:

  • Search through its assigned knowledge base
  • Provide accurate answers based on your company's documents
  • Cite the source by showing:
    • The document name
    • The specific page(s) where the information was found
  • Users can click citations to view the original document

Example:
User asks: "What are our coverage limits for commercial property insurance?"
Assistant responds: "Coverage limits for commercial property start at $500,000 and can extend up to $5M depending on property value and risk assessment. (Commercial Property Guidelines.pdf, page 12)"

Practical Use Cases

Claims Processing Upload your claims procedures and SOPs. Assistants can guide adjusters through proper protocols while citing the exact policy section.

Underwriting Support Load underwriting guidelines, risk assessment criteria, and product specifications. Underwriters get instant answers with direct references to official documentation.

Customer Service Equip your service team with product brochures, policy summaries, and FAQ documents. Provide consistent, accurate information to policyholders.

Training & Onboarding New employees can ask questions and get answers pulled directly from training materials, compliance documents, and company procedures.

Compliance & Regulatory Maintain a library of regulatory requirements, compliance checklists, and audit documentation that assistants can reference when needed.

Example Workflow

  1. Upload your "Auto Insurance Underwriting Guidelines.pdf"
  2. Add tags: underwriting, auto-insurance, guidelines
  3. Assign the underwriting tag to your "Underwriting Assistant"
  4. User asks: "What's our maximum acceptable driver age for standard auto policies?"
  5. Assistant replies: "The maximum driver age for standard auto policies is 75 years. Drivers over 75 require senior driver assessment. (Auto Insurance Underwriting Guidelines.pdf, page 8)"

The Knowledge feature is now available for your organization. Start building your knowledge base today:

  1. Navigate to the Knowledge tab
  2. Upload your first set of documents
  3. Create organizational tags that match your workflows
  4. Assign knowledge to your existing assistants
  5. Test with common questions your team handles daily
